Missing Students in Reports

Overview

If one or more students are missing from a report, the cause is typically related to report filters, student enrollment, assessment completion, or scoring. This article outlines common causes and troubleshooting steps.

Who Can Use This Article

  • Administrators

  • Teachers

  • Support Staff

Troubleshooting

1. Verify Report Filters

Confirm that the correct filters have been selected when running the report.

Review items such as:

  • School

  • Teacher

  • Grade

  • Class

  • Assessment

  • Date range (if applicable)

An incorrect filter may exclude students from the report.

2. Confirm the Student Completed the Assessment

Some reports only include students who have submitted or completed the assessment.

Verify that the student:

  • Was assigned the assessment.

  • Completed and submitted the assessment successfully.

3. Verify Assessment Scoring

If the assessment includes Written Response questions, some reports may not display final results until all responses have been scored.

Complete any outstanding scoring and regenerate the report.

4. Verify Student Enrollment

If the student was recently enrolled, transferred, or moved to another class, confirm that the enrollment information has been updated through the district's Student Information System (SIS).

Most districts synchronize roster data overnight, so recent enrollment changes may not appear immediately in DataMate.

5. Run the Report Again

After making any changes to enrollment, scoring, or report filters, generate the report again to ensure the latest information is displayed.

Best Practices

  • Verify report filters before generating reports.

  • Complete all required scoring before reviewing final assessment results.

  • Allow scheduled SIS synchronization to complete after enrollment changes.

  • Regenerate reports after making updates to assessment data or student enrollment.
